Thundercaller answers your phone, so it necessarily handles what your callers say. This page explains what is kept, who else sees it, and for how long — in plain terms.
Who is responsible for what
Your business decides what the receptionist knows and what it does. Risoris Group LLC operates the software on your behalf. The appointment and client information belongs to your business, not to us. We do not sell it, and we do not use your callers' conversations to train AI models.
What is collected on a call
- The caller's phone number, used to recognise returning clients.
- A recording and a written transcript of the call, so you can check what was said.
- Details the caller gives in order to be helped — usually a name and what they want booked.
- The appointment itself, written to your calendar or your booking software.
- A short summary of the call, shown in your dashboard.
Who else is involved
Running a phone receptionist means other companies are in the path. We keep the list short and name it honestly:
- A telephony provider carries the call and converts speech to text and back.
- Anthropic provides the language model that decides what to say. Anthropic does not train on data sent through its business API.
- Our hosting and database provider stores your appointments, knowledge base and call records.
- Your own booking software, if you connect one, receives the appointments.
Call recording and consent
Calls are recorded. Some states require that both parties are told, and a few require consent. Your receptionist can say so in its greeting, and we will set that up for you — but you are responsible for meeting the recording laws where you operate. Ask us and we will turn recording off entirely if you would rather only keep transcripts, or neither.
How long things are kept
Call recordings, transcripts and summaries are kept while your account is active so you can review them. Ask us to delete them — all of them, or a single call — and we will. Appointment and client records stay until you delete them or close your account, because your business needs them. When you leave, tell us and we will export your data and then remove it.
Security
Data is encrypted in transit and at rest by our hosting and database providers. Access to your account's information is limited to the people at Risoris who need it to run the service and to help you when you ask.
If you are a healthcare provider covered by HIPAA, talk to us before you use Thundercaller.
Health information carries obligations that ordinary appointment data does not, including written agreements with every vendor in the chain. We will tell you honestly what is and is not in place before you put any patient information through the system, rather than after.
Your callers' rights
If one of your clients asks what you hold about them, or asks to have it deleted, you can do that from your dashboard or ask us. We will help you respond within the time your local law allows.
Children
Thundercaller is a tool for businesses and is not directed at children. Where a parent books on a child's behalf, the information belongs to your business's own records and is treated exactly as above.
Changes
If this policy changes in a way that affects how your data is handled, we will email you rather than quietly updating this page.
